Pipedrive Export to Google Sheets, Refreshed on a Schedule
Pipedrive can export a list to CSV or Excel, but only once, by hand, and the file is out of date the next morning. This guide shows how to get your Pipedrive data into a Google Sheet that refreshes itself every hour, day, week or month.
What Pipedrive's own export does
In any Pipedrive list view (deals, people, organizations, activities, products) you can apply a filter and export the results as a CSV or Excel file. It is free, it includes custom fields, and it is the right tool for a one-time pull.
What it does not do is repeat. There is no built-in way to send that export to a Google Sheet every morning. Each refresh means exporting again, opening Google Sheets, importing the file and redoing any formatting or formulas that pointed at the old data.
- Good for: a one-off list, a backup, handing a file to someone once.
- Not good for: a report people open every week, a sheet other tools read from, anything that has to stay current.
How to export Pipedrive to Google Sheets on a schedule
PipedriveSheets is a Google Sheets add-on that pulls Pipedrive records straight into a sheet and can repeat the pull on a timer. The steps below take about two minutes.
- Install PipedriveSheets from the Google Workspace Marketplace and open the spreadsheet you want to fill.
- Open Extensions → PipedriveSheets → Get Started with PipedriveSheets and click Connect Pipedrive. Sign-in uses OAuth, so there is no API key to copy.
- Open Settings → Sync Setup. Pick the data type (deals, persons, organizations, activities, leads or products), pick a saved Pipedrive filter or all records, then choose your columns. Custom fields are in the list.
- Click Pull from Pipedrive. Your records land in the sheet with a header row.
- Open Tools → Schedule Sync and choose hourly, daily, weekly or monthly. From then on the sheet refreshes without anyone opening it.
Scheduled sync is a Pro feature. The free plan does manual pulls of up to 50 rows per sync, 12 columns and 1 filter, with no card needed. Pro starts with a 14-day trial (card required, no charge if you cancel before day 14).
Keep your formulas and notes when the sheet refreshes
A scheduled pull only writes to the columns it maps to Pipedrive fields. Columns you add yourself, such as a formula, a status note or a manual forecast, are left alone on every refresh.
The cleanest layout is one tab for the raw Pipedrive data and a second tab for your summaries, charts and pivot tables. The raw tab refreshes; the summary tab recalculates from it.
Pick the filter in Pipedrive first
The add-on uses your saved Pipedrive filters, so the easiest way to control what lands in the sheet is to build the filter in Pipedrive. A few that work well for scheduled exports:
| Export | Data type | Pipedrive filter |
|---|---|---|
| Open pipeline for the weekly meeting | Deals | Status is open, pipeline is your sales pipeline |
| Won deals for finance | Deals | Status is won, won time is this year |
| Activities due this week | Activities | Due date is this week, done is false |
| New leads to clean up | Leads | Add time is last 7 days |
| Customer list for a mailing tool | Persons | Label is customer |
Other ways to automate the export
- Zapier or Make: a workflow can add a row to a sheet when a deal changes. That suits event-by-event logging, but it does not give you a full, filtered snapshot, and every record counts against a task or operation quota.
- Multi-source connectors (Coupler.io, Coefficient and similar): these schedule imports from many apps, Pipedrive included. They make sense if Pipedrive is one of many sources you report on.
- PipedriveSheets: built for Pipedrive only, uses your Pipedrive filters, and can also push edits from the sheet back to Pipedrive.
Questions
Can Pipedrive export to Google Sheets automatically?
Not on its own. Pipedrive exports a CSV or Excel file on demand. To refresh a Google Sheet automatically you need an add-on such as PipedriveSheets or an automation tool.
How often can the sheet refresh?
PipedriveSheets schedules run hourly, daily, weekly or monthly. Pro can also use optional webhook updates for near real-time changes.
Are custom fields included in the export?
Yes. Custom fields appear in the column picker next to the standard fields, and you can pull related person, organization and deal fields into the same row.
