Pipedrive Reports in Google Sheets

Pipedrive's Insights covers a lot of reporting inside Pipedrive. Teams still move the numbers into Google Sheets when the report has to combine Pipedrive with other data, reach people without a Pipedrive seat, or use formulas and charts Insights does not have. This is how to build one that keeps itself current.

When a Sheets report beats Insights

  • Finance or leadership wants the numbers but does not have, or need, a Pipedrive seat.
  • The report mixes Pipedrive with data from elsewhere: targets, costs, a billing export.
  • You need a calculation Insights does not do, such as commission, weighted forecast by your own rules, or a custom grouping.
  • You want a history: a weekly snapshot tab that keeps last week's numbers next to this week's.

The layout that keeps working

Use one tab per Pipedrive pull (for example Deals and Activities) and one Report tab that only contains formulas, pivot tables and charts. The data tabs refresh; the Report tab recalculates from them. Nobody types into the data tabs.

  1. Build the filter in Pipedrive first, for example open deals in your sales pipeline.
  2. In the Deals tab, run Settings → Sync Setup, pick Deals and that filter, and choose the columns the report needs: title, organization, owner, stage, value, expected close date.
  3. Pull from Pipedrive, then build the Report tab with formulas such as the ones below.
  4. Open Tools → Schedule Sync and set the refresh to run before the report is read, for example every Monday morning.

Three report formulas to start with

These assume the Deals tab has a header row and columns A Deal ID, B Title, C Organization, D Owner, E Stage, F Value, G Expected close date, H Next activity date.

// Pipeline by stage: number of deals and total value
=QUERY(Deals!A:H, "select E, count(A), sum(F) where A is not null group by E label count(A) 'Deals', sum(F) 'Value'", 1)

// Value expected to close this month
=SUMIFS(Deals!F2:F, Deals!G2:G, ">="&(EOMONTH(TODAY(),-1)+1), Deals!G2:G, "<="&EOMONTH(TODAY(),0))

// Open deals with no next activity scheduled
=COUNTIFS(Deals!A2:A, "<>", Deals!H2:H, "")

If your dates arrive as text, wrap the column in DATEVALUE or set the column format to Date once; the format stays when the sheet refreshes.

Sharing the report

Share the spreadsheet in view-only mode with the people who read it. Because the data tab refreshes on a schedule, they always open current numbers without asking anyone to export again. Scheduled syncs can also email a digest to the people you name.

Report templates

Three report layouts, with the columns, filters and formulas written out, are in the templates below.

Questions

Can I build Pipedrive dashboards in Google Sheets?

Yes. Pull the records into a data tab, build charts and pivot tables on a separate tab, and schedule the data tab to refresh. The charts update with it.

Does it work on the free plan?

The free plan pulls up to 50 rows per sync with 12 columns and 1 filter, by hand. That is enough to build and test a report. Scheduled refresh and unlimited rows are on Pro.

Can I report on activities as well as deals?

Yes. Pull activities into their own tab with an activities filter, and reference both tabs from the report tab.

Try it on your own Pipedrive data

Free plan: 50 rows per sync, no card. Pro: $12.99/month with a 14-day trial (card required, no charge if you cancel before day 14).
